Dispatch service

Appointment Scheduling

Appointment times determine whether a week runs smoothly or falls apart. We coordinate them around your Hours of Service, not around whatever the shipper offered first.

What we coordinate

  • Pickup appointments
  • Delivery appointments
  • FCFS (first come, first served)
  • Drop and hook appointments
  • Live load appointments
  • Rescheduling when delays occur

In practice

Why this is the part that costs you money

Appointment times decide whether a week flows or falls apart. A delivery window that looks fine in isolation can be impossible once you account for the drive time, the mandatory break and the fact that the shipper before it runs three hours behind on a good day.

We schedule against your Hours of Service rather than against whatever the facility offered first. That sometimes means asking for a different window, and it often means knowing which facilities will actually accommodate a change and which will not.

Facility type matters as much as time. A first-come-first-served produce shed is a completely different planning problem from a drop-and-hook distribution centre, and a live load with a two-hour window at a receiver known for detention needs the detention terms agreed before you accept it.

How it runs

Appointment Scheduling, step by step

  1. 1

Windows are set against your clock

Achievable given your remaining hours, required breaks and realistic drive time — not just the first slot offered.

  2. 2

    Facility type is factored in

FCFS, appointment-only, drop and hook or live load. Each has a different real-world time cost.

  3. 3

    Both ends are coordinated

A pickup that runs late is only a problem if the delivery has not been adjusted. We manage the pair, not the parts.

  4. 4

Changes are handled as they happen

Weather, breakdowns and shipper delays get rescheduled at our end while you deal with the road.

What carriers get wrong

The mistake: accepting the first window offered

Facilities offer the slot that suits their dock schedule. Whether it suits your Hours of Service is not their concern. Accepting a window that forces you to run tight, or park for nine hours to make a morning appointment you could have taken the previous evening, quietly costs a day a week.

Questions

Appointment Scheduling — common questions

What is FCFS and why does it matter?

First come, first served — no fixed appointment, you queue. Common at produce sheds. It matters because the queue can run hours and the time is rarely paid unless detention terms were agreed beforehand.

Can you get an appointment changed after it is set?

Often, yes. It depends on the facility and how much notice we have. The earlier a problem is flagged, the more options exist.

Who is responsible if I miss an appointment?

We reschedule and manage the broker conversation. If it was our scheduling error we say so. Blaming the driver for a window that was never achievable helps nobody.

See it before you commit to anything

We do not publish rates. The honest answer depends on your equipment, your lanes, how many trucks you run and how you like to operate — and a number posted on a page has to ignore all of that to exist at all.

What we offer instead is a free trial week. We take your operating preferences, complete your broker setups, find you a load, negotiate the rate and run the week with you. Everything described on this page is included — it is the real service, not a trimmed demonstration of it. If the week justified itself we carry on and talk terms. If not, you owe nothing and you keep the revenue from the load.

To start we need your active operating authority, a certificate of insurance and a signed W-9. With those in hand, broker carrier packets can begin the same day.
